The Role:

This is a key leadership role for someone who lives and breathes clarity, structure, and follow-through. You’ll manage the inner engine of our organisation, from compliance and HR to media team accountability, calendar oversight, and the entire operational rhythm across Henderson Advocacy and Henderson Asset Management.

Key Responsibilities:

Operations & Workflow

• Build, improve, and oversee systems that manage every stage of the client journey: onboarding, acquisition, settlement, and beyond.
• Run the day-to-day operational heartbeat: task tracking, process documentation, team coordination, and system rollouts.
• Support cross-functional workflows across buyer’s agents, client services and asset management.

Compliance & Licensing

• Take full ownership of all real estate compliance: Class 1 & Class 2 licensing, CPD requirements, NSW Fair Trading regulations, and audit readiness.
• Maintain up-to-date staff compliance records and proactively manage expiry and renewal cycles.

People & HR Support

• Partner with internal recruitment to manage onboarding checklists, team documentation, and offboarding.
• Support performance review cycles, team milestone tracking, and internal HR systems.
• Be the first point of contact for team questions, issues, and day-to-day people support.

Calendar & Cadence

• Own the internal operations calendar, ensuring recurring meetings, performance reviews, and compliance tasks are locked in and followed up.
• Coordinate deadlines and deliverables across the business and ensure accountability.

Media Team Oversight

• Lead weekly check-ins with the content team to ensure media KPIs are tracked and met (20 short-form, 7 long-form pieces per platform).
• Align media output with the overall brand and campaign goals across platforms.

Admin & Support Systems

• Manage documentation and templates across Henderson University, our internal training and process platform.
• Ensure CRMs, onboarding forms, and property workflows are up to date and aligned.
• Own version control and structure of key internal documents and SOPs.

• An operations gun with experience managing complexity and coordinating across departments.

• Calm, structured, focused — and known for making things run like clockwork.

• Proactive and self-directed: you spot gaps, find solutions, and drive things forward.

• Experienced in process-building, system management, and team coordination.

• Fluent in operational tools (Asana, Notion, GDrive, GHL, Xero or similar platforms).

Real Estate Background? Even Better.

• Experience in real estate, property management, or buyer’s advocacy is highly advantageous.
• Understanding the lifecycle of a deal — from strategy call to settlement and post-settlement nurture — will give you an edge in this role.
• Data-driven with an analytical mindset to back up all recommendations.
